eContent Pro® Terms & Conditions for Editorial Services

These Terms and Conditions (“Terms and Conditions”) apply to the use of the eContent Pro® (hereafter referred to as “eContent Pro®”) Editorial Services (hereafter referred to as “Service”), which includes any services, products or information offered by its owners, employees, and “Editors” (which may include any Editor performing one of the seven editorial services), or through the website https://www.econtentpro.com/.

By accessing or using eContent Pro® services, systems, and/or website (directly or indirectly) you, the Client (hereafter referred to as the “Client”), agree to be bound by these Terms and Conditions.

If you, the Client, do not agree with the Terms and Conditions outlined below, please refrain from purchasing services, and/or utilizing the order processing system and/or website.

This agreement, whenever called upon to be construed, shall be governed by the laws of the Commonwealth of Pennsylvania, USA.

The parties to this agreement consent and agree that all legal proceedings relating to the subject matter of this agreement shall be maintained in the Court of Common Pleas of Dauphin County, Pennsylvania, or, if applicable, the United States District Court for the Middle District of Pennsylvania, and all parties hereto consent and agree that jurisdiction and venue for such proceedings shall lie exclusively within said courts.

eContent Pro® reserves the right to change, add or remove parts of these Terms and Conditions at any time without prior notice. The changes will only affect the Client’s use of the Service after the date the changes become effective unless we express otherwise. The Client’s use of the Service after this time will mean that they have accepted and agreed to any changes.

Please check these Terms and Conditions periodically for any amendments.

  1. Description of Service
    1. The Client understands and accepts that the Service is provided “as is” and that eContent Pro® is not liable or responsible for the reliability or availability of the Service.
    2. eContent Pro® reserves the right to modify, suspend or discontinue the Service with or without notification.
    3. eContent Pro ® does not guarantee acceptance into publications upon completion of Service. The acceptance of a manuscript is wholly at the discretion of the editorial leadership of the publication and the publishing house.
  2. Scope of Service
    1. eContent Pro® Editors will perform the following during English Language copy editing:
      • Correct faulty spelling, grammar, and punctuation.
      • Fix incorrect word usage.
      • Ensure consistency in spelling, hyphenation, numerals, fonts, and capitalization.
      • Check for callouts and captions for figures, tables, and other display elements.
      • Enforce a consistent style and tone in a multi-author manuscript.
      • Eliminate wordiness and inappropriate jargon.
      • Smooth transitions between sentences and paragraphs.
      • Move sentences to improve readability.
      • Implement additions and deletions to ensure readability and flow.
      • Assign new levels to headings to achieve logical structure.
      • Change passive voice to active voice, if requested.
        They will not, however, add additional content to the document such as research findings, missing citations, or visual elements (tables, charts, graphs, figures, or equations). They are only responsible for editing and providing editorial comments/suggestions for textual content already found within the document. Also, regarding the formatting and styling, they will only reference the templates and documentation provided to them regarding the publisher’s style and will not seek out any additional templates or documentation.
    2. eContent Pro® Editors will evaluate the document, providing feedback and revision suggestions in the following areas during scientific and scholarly editing:
      • Originality and significance of the contribution. Does the manuscript clearly explain its mission and coverage?
      • Interest to the research community and/or practitioners. How useful is the material to the field?
      • Coverage of existing literature. Does the literature review contain relevant information in support of the manuscript?
      • Satisfactoriness of the methodology, analysis, and comprehension. Does the manuscript contain a detailed explanation of research methods and procedures?
      • Clear, concise, and jargon-free writing. Does the manuscript clearly state the issues being addressed?
      • Organizational structure. Is the manuscript clearly organized in a logical fashion? Are the author’s conclusions supported by the research?
      • Major weaknesses. Listing of some of the major weaknesses of the manuscript.
      • Major strengths. Listing of some of the major strengths of the manuscript.
      • Recommendations. A list of suggestions for the author to consider for improving the manuscript.
      • Complete confidentiality and anonymity. The review is blind meaning that both the author and the editor remain anonymous throughout the evaluation process.
        *Disclaimer: While eContent Pro® will make every attempt to ensure anonymity of both the client and the editor, it cannot be 100% guaranteed as there may be instances where the client or editor information may not be able to be completely removed from documents and/or files.
        And may also from time-to-time:
      • Eliminate wordiness and inappropriate jargon.
      • Smooth transitions between sentences and paragraphs.
      • Move sentences to improve readability.
      • Implement additions and deletions to ensure readability and flow.
      • Assign new levels to headings to achieve logical structure.
        They will not, however, add additional content to the document such as research findings, missing citations, or visual elements (tables, charts, graphs, figures, or equations). They are only responsible for editing and providing editorial comments/suggestions for textual content already found within the document. Also, regarding the formatting and styling, they will only reference the templates and documentation provided to them regarding the publisher’s style and will not seek out any additional templates or documentation.
    3. eContent Pro® Editors will perform the following during journal recommendation:
      • A minimum of five journal recommendations that match the content of the manuscript.
      • The Editor-in-Chief information (names and contact details).
      • Journal description, mission, and topics covered.
      • Years established.
      • Editorial review board overview.
      • Submission criteria and appropriate links.
      • Acceptance rate estimation.
      • Indexing information.
      • Other pertinent details.
        They will not, however, guarantee that those journals recommended will accept the manuscript as it is ultimately up to the journal’s leadership and publisher to determine what will ultimately be accepted and published.
  3. Means of Service
    1. All exchanging of files and documents will be done electronically through a secure connection. eContent Pro® and the Client agree to take precautions to mitigate the possibility of the exchange of contaminating, malicious or destructive malware, viruses or spyware from its servers or email clients.
  4. eContent Pro's Role and Responsibility
    1. eContent Pro® will make every effort to provide its service in a timely, high-quality manner, but failure to perform any term or condition of these Terms and Conditions as a result of conditions beyond its control such as, but not limited to, war, strikes, fires, floods, acts of God, governmental restrictions, power failures, or damage or destruction of any network facilities or servers, shall not be deemed a breach of these Terms and Conditions.
    2. eContent Pro® agrees to carry out the Service requested in a professional manner, in the timeframe specified during the initial order, while taking into consideration any additional instructions given by the Client in regard to the work to be carried out.
    3. The Client understands and acknowledges that eContent Pro® is a service provider for Clients looking for professional editorial services. All edits made to Client's documents will be performed using Microsoft Word's® Track Changes feature, which allows for fast and simple review and management of content recommendations and copy edits.
    4. eContent Pro® takes care to select qualified Editors able to provide the level of service requested by the Client while contracting this service. Selected Editors are held to a high standard, but eContent Pro® does not guarantee the work will be error free. While the Client having the document professionally edited and evaluated could improve its readability and possibly increase its chances of being accepted by a publisher, eContent Pro® does not guarantee acceptance.
    5. eContent Pro® reserves the right to refuse content that, in its sole opinion, is deemed illegible, inappropriate, offensive or unlawful.
    6. The projected date of completion provided to the Client upon submitting the job is not guaranteed and is considered an estimate. In the event editing takes longer than originally expected, eContent Pro® will contact the Client with a revised completion date. There will not be a cost increase in this instance.
    7. Should the Client not be entirely satisfied with the Service carried out by eContent Pro®, then the Client is entitled to a second round of editing on the same manuscript for free within a mutually agreeable timeframe. However, any amendments requested at this stage that were not part of the original order (for example, text additions/deletions, or comments from our Editors not being responded to) may be subject to an additional charge. If eContent Pro® deems the complaint to be unfounded, and any problems not the fault of eContent Pro®, then any further amendments may, again, be charged.
    8. eContent Pro® will aim to respond to all complaints within one working day, within which we will acknowledge the Client’s communication and indicate the action we will take to investigate the Client’s complaint and the expected time for resolution. If, after this time, any dispute cannot be resolved between the Client and eContent Pro® then a mutually agreed third party may be contacted to settle the issue.
    9. In the event of additional modifications/amendments/additions requested by the Client, any additional charges or delivery date extensions needed will be communicated by eContent Pro® within one-business day of receiving the necessary materials to continue with the work.
    10. The word count of the Client’s document will be checked upon submission in order to validate that the file and work required tally with the relevant service ordered.
    11. The Client’s completed paper will be returned in the file format it was received via the eContent Pro® website and supported by an email notification.
  5. Client's Role and Responsibility
    1. All documents for editorial services must be submitted in the English language and all Services will be in English.
    2. The Client should take care to upload the correct files and be sure of their intentions for eContent Pro® to carry out the Service when submitting their document as costs will be incurred and payable by the Client.
    3. eContent Pro® has the right to request further materials from the Client in order to complete the work efficiently. For example, asking for the provision of figures, tables, or graphs as necessary.
    4. The Client retains the copyright on any materials submitted to the Service, and therefore accepts responsibility for any issues of liability that may arise from charges of copyright infringement, plagiarism or unauthorized use of the text, files, or graphics included in the arrangement between eContent Pro® and the Client.
    5. The Client cannot make a claim against eContent Pro®, for any damage to its computer hardware, software, or injury based on errors or in accuracies appearing in the Client's written documents.
    6. The Client cannot make a claim against eContent Pro® for any comments made by the Editors on their written work.
    7. For English Language copy editing, the Client will have the option to identify the publisher to which they will submit the final publication and eContent Pro® will edit the publication to the standards of that publisher, if the Client chooses to specify one. It is the Client's responsibility to provide all information needed to perform the editing job (including publisher house style and chapter formatting requirements) at the same time as uploading the file(s).
    8. Client acknowledges that by submitting materials to eContent Pro® it is not in violation of any laws (local, state, federal, or international).
    9. Any additional modifications/amendments/additions requested by the Client, after the initial order for the Service has been placed, may be subject to an additional charge or an extension of the completion date.
    10. Client agrees that by uploading the document to be edited, accepting the price quote, and paying the fee, that jobs are considered final and no cancellations will be allowed, and no refunds will be granted.
    11. Any complaints about the Service provided by eContent Pro® should be directed in e-mail to our Communications Coordinator, Courtney Mengel, at cmengel@econtentpro.com.
    12. Minimum eContent Pro® order amount is $100 (before discount), regardless of word count or any other factor. Documents less than 1,250 words will automatically be charged the minimum amount of $100.
    13. All promotional discounts for English Language copy editing services are applied directly to Client’s eContent Pro® shopping cart and may not be combined with any other sale, promotion, discount, code, coupon and/or offer. eContent Pro® has the right to end or modify any promotion at any time.
    14. Client agrees to indemnify and hold harmless eContent Pro®, its subsidiaries, affiliates, agents, employees, owners and officers, against all losses, expenses, damages, and costs, including reasonable attorneys' fees, resulting from any lawsuit, arbitration, dispute, or similar proceeding involving, but not limited to, a criminal violation of state or federal laws (including Federal Copyright laws), a civil claim for tort, contract and/or property damages, or an administrative proceeding which arises from the publication, distribution, transmission, communication, disclosure, or redistribution related to any material the Client sends, communicates, transmits, or submits, or authorizes a third party to send, communicate, transmit or submit, via email, uploading, or any other method, to eContent Pro®.
    15. The Client agrees to indemnify and hold harmless eContent Pro® against all losses, expenses, damages, and costs, including reasonable attorneys' fees, resulting from the Client's violation of this agreement.
    16. If materials are not received promptly upon request then the completion date for any work will be extended by the number of days it takes for these materials to arrive (e.g. if figures are requested for a paper and these do not arrive for four days, then eContent Pro® will add four days onto the completion date the Client was originally provided with).
    17. Client may add a hypertext link to the eContent Pro® site on their own site, provided that the link does not imply or state any endorsement or sponsorship of their site by eContent Pro®.
    18. The Client may not use any content from eContent Pro® site including trademarks, copyrighted materials, logos, etc. without the written consent of eContent Pro® and/or the owner of the mark or right.
    19. Payment is expected upon submission of the order. The Client will be provided with the complete paper upon completion of the editing process via an automated email notification.
    20. Payments made by bank transfer are subject to additional fees which must be paid by the Client at the time the payment transaction is made.
    21. Should the Client withdraw any work from eContent Pro®, for any reason, following the initial order, then the Client will be liable to pay for any work carried out up to the time/day when this work was withdrawn. The Client will be advised of any charges incurred at that time.
  6. Registration, Password, and Security
    1. To register with eContent Pro® the Client must be at least 18 years of age.
    2. The Client must ensure that the details provided by them upon registration are correct and complete.
    3. The Client must inform eContent Pro® immediately of any changes to the information that they provided when registering by:
      1. Logging into the eContent Pro® website and amending their details.
      2. Contacting eContent Pro® via telephone
      3. Email: cmengel@econtentpro.com
    4. eContent Pro® advises that the Client reads eContent Pro’s privacy policy prior to registration to understand how eContent Pro® will collect, store, manage, process and protect the Client’s data.
    5. When the Client registers to use the eContent Pro® website they will be sent an email containing a password.
    6. The Client must change this password once they have confirmed their account and must not disclose it or share it with anyone.
    7. The Client will be responsible for all activities and orders that occur or are submitted under their password.
    8. If the Client knows or suspects that someone else knows their password, they should notify eContent Pro® by contacting the Communications Coordinator, Courtney Mengel, at cmengel@econtentpro.com.
    9. If eContent Pro® has reason to believe that there is likely to be a breach of security or misuse, eContent Pro® may require the Client to change their password (or temporarily suspend their account).
  7. Enterprise Accounts
    1. For Clients with enterprise accounts there are no signup fees, recurring costs, or minimum order requirements.
    2. Clients with enterprise accounts are provided with one single account, however, each individual user associated with that account will have a unique log-in.
    3. Clients with enterprise accounts can add new company addresses and create new users with different permission levels.
    4. Clients with enterprise accounts can upload orders without the need to enter any payment information.
    5. Clients with enterprise accounts will have a billable payment option with monthly invoicing for completed orders.
    6. Clients with enterprise accounts will receive an e-mail notification immediately after the order is complete, and may download the final, edited document(s).
  8. Confidentiality
    1. eContent Pro® takes measures to ensure confidentiality of the material submitted to it.
    2. All information that is communicated by the Client to eContent Pro® is considered confidential information received in the course of the working relationship and will not be transmitted by eContent Pro® orally, visually, in writing or electronically.
    3. Items such as all forms of scientific, academic, and propriety documents including manuscripts, tables, figures, and all forms of data including research and business data will not be shared. Additionally, business items such as marketing plans, price lists, strategies, ideas and concepts, will be protected.
    4. When the Client’s work is submitted for editing, anonymity will be offered on both sides through a double-blind process where the Editor’s and Client’s identities remain unknown to the other party.
    5. While eContent Pro® will make every attempt to ensure anonymity of both the client and the editor, it cannot be 100% guaranteed as there may be instances where the client or editor information may not be able to be completely removed from documents and/or files.
    6. The Client’s Contact information will not be shared out to any third-party service providers.
    7. eContent Pro® and its Editors will hold in trust and confidence all confidential information and will not publish, transfer, use for eContent Pro’s or Editor’s own purposes, or disclose to others, directly or indirectly, as confidential information or anything relating to such information without prior written consent of the Client, or any single one of the entities constituting the Client.
    8. eContent Pro® and its Editors will not copy or reproduce any confidential information. However, this provision of this agreement shall not be construed as preventing eContent Pro® and its Editors from downloading such confidential information to its/their computer(s) for the purposes of carrying out the services requested by the client. Any copying or reproducing of confidential information beyond that needed for the purposes of receiving and working on that document/information is covered by this provision.
    9. eContent Pro® and its Editors will not use any confidential information for any purpose other than those that are necessary in the course of the working relationship with the Client without written prior consent from the Client.
  9. Intellectual Property Rights
    1. eContent Pro®, its employees and Editors make no claims of ownership on any work submitted by the Client for Services provided via eContent Pro’s website.
    2. Any work submitted to eContent Pro® is kept confidential and remains the Client’s intellectual property (please refer to eContent Pro’s Privacy Policy for further information).
    3. The Client agrees that any files they submit via the website including papers, images, figures, tables, etc., will not contain any illegal, sexually explicit, threatening, abusive, defamatory, racially or otherwise offensive material, or any content which could lead to legal action against eContent Pro® and/or tarnish the eContent Pro® public image and reputation.
    4. eContent Pro® has the right to refuse to provide the Service should any files contain such material.
    5. eContent Pro® is not responsible for making backups or any archive copies of files submitted by the Client and is not, under any circumstances, responsible for any loss, corruption or alteration of such files.
    6. The Client acknowledges that eContent Pro® owns all right, title and interest in and to the Service and such rights are protected by US/international intellectual property laws.
    7. The Client also agrees not to use any computerized technologies e.g.: robots, spiders or other automated devices or manual processes to monitor or copy content from the website.
    8. Notifications of any alleged infringement of intellectual property should be sent via email to our Communications Coordinator, Courtney Mengel, at cmengel@econtentpro.com.
  10. Disclaimer of Warranties and Liability
    1. The Service is provided “as is” and without warranty of any kind including, but not limited to, the implied warranties of merchantability, fitness for a particular purpose, non-infringement, or error-free or uninterrupted service.
    2. eContent Pro® makes no warranty of any kind with respect to the subject matter included herein, the products listed, or the completeness or accuracy of the information.
    3. eContent Pro® disclaims all warranties, express, implied or otherwise, including, without limitation, all warranties of merchantability and fitness for a particular purpose.
    4. You acknowledge and accept that eContent Pro® does not: a) review the substance of documents submitted to it; or b) guarantee the quality, accuracy or results of the services.
    5. No refunds shall be provided except where indicated.
    6. eContent Pro® will not be liable for any damages indirect, special, exemplary, consequential or incidental arising from, or in connection with, the Service including, without limitation, any damages for lost profits or business interruption.
    7. eContent Pro® is not responsible for nor warrants the accuracy or completeness of content the Client provides in relation to the provision of the Service.
    8. eContent Pro® does not guarantee that such content the Client provides will be accepted for publication at any future date or by any publisher.
